The following function rooms are assigned according to the estimated guaranteed number of persons. The hotel reserves the option to reassign function rooms should the need arise.

Please note that to reserve the meeting rooms indicated, the Hotel requires a minimum guarantee of 140 attendees per day. Should your actual attendance fall below the stipulated minimum guarantee; the minimum guarantee will still be charged.

BUFFET DINNER自助餐

We are pleased to confirm the meeting package at CNY450+15% per person per day.

This package is based on a minimum guarantee of 140 attendees per day, which includes:

Simultaneous Translation Services and equipment are not available directly through the hotel. However, arrangements can be made prior to the group's arrival should there a need for such services. Rates charged will depended on the type of number of translators required and type of equipment rented.
酒店没有直接的同声传译服务和设备。然后在出席团到达之前,可以事先准备好这样的服务。收取的费用是根据翻译的语种和设备的类型来确定的。

TERMS OF PAYMENT支付方式

Full payment CNY72, 450net must reach to Hotel by Friday, June 29, 2007 by cash or telegraphic transfer. The payment must be made in Chinese Yuan.
72,450元的全款在2007年6月29日星期五之前应该以现金或者电子转账的形式到账。支付的费用是以人民币元为单位。
(70% as deposit CNY50, 715net must reach to Hotel by Tuesday, June 2, 2007)
(70%的定金,也就是50,715元必须在2007年6月2日星期二之前到账)

All other payments are to be made at the end of the function upon presentation of the bill, which will include, but not limited to, any other charges not specified in this contract, but authorized by your company representative during the event.
其他的费用在之后结算,这些费用将包含但不限于这份合约中提到的内容,这些是由贵公司代表来审定的。

Should credit be required, our credit application form is to be completed and returned.  Please note that all approvals for credit facilities will be entirely at the discretion of the Hotel and no reasons may be given for rejection of any application.  Otherwise, payment is to be settled upon presentation of bill at the end of the event.

如果需要使用信用卡的话,我们将会把信用卡申请表格做好并且发回。酒店一定要慎重考虑,确保所有获得信用卡设备的申请都能获得通过,不要给出任何拒绝的理由。否则,费用将在事务结束后才能结算。

Should company cheque be used as a mode of payment, it will be required that a pre-
payment of the total outstanding sum be issued ten (10) working days prior to the
function.
如果公司支票可以做为一种支付形式的话,则需要在宴会开始10天前就进行预付。

All other payments incurred thereafter are to be made within fourteen (14) days upon receipt of our invoice.
其他从那之后产生的费用要在收到发票14天内结算。

The Regent Shanghai requires a program outline seven days prior to the arrival of your group.  This will assist us in providing you with a smoothly run and professionally organised event.
在宾客到来之前7天,Regent上海需要一份项目提纲。这将有助于我们为您提供一个顺利的、专业的、有组织的集会。

SPECIAL NOTE
Fourteen (14) days before the commencement of this event, all arrangements for meeting room set-up, food and beverage, name of event and rooming list should be finalised.
在这项活动开始前14天,所有相关的设施、餐饮、事件名称、房号表都应该被制作完成。

VALIDITY OF OFFER提议的有效性
The terms and conditions of this offer should be accepted by you and received by The Regent Shanghai on or before May 30, 2007.
Otherwise all guest rooms and function rooms reserved will be released without prior notice and this offer will be considered null and void. Any further changes to the requirement of function rooms, guest rooms or meeting package are subject to revision of rates quoted in this contract by the hotel.
这份提议中所提出的形式&条件应该在2007.05.30之前被贵公司采纳。否则所有的客房和功能房间的预定将在没有事先通知的情况下被取消,如果这样的话,这份提议就成为无效的了。任何进一步的变动都将引起这份协议里所提供的报价的变动。

However, should another organization approach us with a commitment to book the proposed dates on a definite basis, you will be advised and given a 48-hours right of first refusal. After which time, you have the option to confirm definite with us or to release the function space that we are holding for you.
然而,如果其他任何组织跟我们经过接触后预定了我们的提议,我们将会对您做出通知,并且给您48小时的优先拒绝权。在这个时限之后,你可以选择是否跟我们继续合作,或者取消我们为您保留的功能区域。

Any changes to this contract must be in writing and signed by both parties.

TERMS AND CONDITIONS条款和条件

Food Service食物服务
The hotel management ensures the quality and freshness of the food served to its guests.  Therefore, no food may be brought into the hotel from another source for service in our facilities.  Food may not be taken off premises after it has been prepared and served.
酒店确保对客食物的质量和新鲜度。因此,在我们的设施里,不要从其他任何渠道引进食物。除非是食物已经经过烹制了,否则不要拿出来。

Beverage Service酒水服务
Corkage charge is applicable for all bottles of wine or liquor that is brought into the hotel. All bottles of wine or liquor served in the hotel’s premises have to be Duty Paid, as stipulated by the law.  The Hotel’s employees must do dispensing of all beverages.  Alcoholic beverages will not be served to anyone under the age of 18 years and proper identification must be shown upon request.
所有带进酒店的酒水都可以收取开瓶费。根据法律规定,所有的酒水都应该是已付关税的。酒店的职员要负责为客人斟倒酒水。酒精类饮料将不会对18岁以下人士提供,当被请求时,应自觉出示身份证明。

Function Rooms功能室
Function rooms are assigned according to the guaranteed number of people anticipated. Room rental charge is applicable if the attendance falls below the minimum requirement.  The hotel reserves the right to change the venue to a more suitable size for the number of guests expected if the attendance drops or increases, upon consulting with the organizer.
功能室是根据预计到场人数来分配的。如果实际到场人数低于最低保证人数,则要收取房间租用费。如果到场人数增加或者减少,酒店保留更换场地的权利,这些都要向组织者征询意见。

Billing记账

We ask that proper credit information be established prior to the function.  A deposit will be necessary to confirm all bookings and the hotel reserves the right to set payment guidelines for all or part of the bill prior to the function.  All payments should be made by cash or credit card at the end of the event, unless credit facilities have been established with The Hotel.
在活动开始之前我们请求贵方提供相关的信用卡信息。为确保预订顺利,我们有必要收取一定额度的订金,酒店保留为所有或者部分账单设立支付指导的权利。所有的款项应该是用信用卡或者现金在活动结束后来进行支付的,除非之前酒店已经安装了信用卡支付设备。

The Patron agrees that all liability for their bills are not waived and agrees to be held personally liable in the event that the indicated person, company or association fails to pay for any part or the full amount of the charges of the event.
赞助人同意不免除他们所有账款的责任,并且他们同意承担因个人、公司或组织导致的不能支付全款的责任。

Postponement 延迟
The Hotel reserves the right to levy a 50% charge based on the total estimated revenue, should there be a change of date.
如果日期有变动,酒店保留根据预期总收益而征收50%费用的权利。


Cancellation取消
In event of cancellation, any deposit paid will be retained.  If the event is cancelled more than 180 days in advance, the deposit retained may be applied for use towards another function within 3 months of the cancellation date.  Cancellation must be advised in writing by the Event Organizer.
如果活动取消,所有的已付的订金将予以保留。如果活动是在180天以前取消的,所保留的押金可以用于取消日期之后3个月中的其他活动。活动组织者应该书写一份取消声明。

Patron's Liability
赞助人职责
The Patron accepts full liability for any loss or damage of Hotel property howsoever caused by the Patron's guests or helpers or contractors who carry out work on the Hotel premises.
赞助人承担因赞助人来宾而造成的酒店财产丢失或损坏的责任。

Exclusion Of Liability责任免除
The Hotel accepts no liability whatsoever for any loss or damage caused to the property of the Patron while on the Hotel premises.
酒店不承担任何赞助者财产丢失或损坏的责任。

Advertising广告
The organiser(s) of functions shall not use the name, trademark, logo or other proprietary designation of The Regent Shanghai in any advertising or promotional materials without the prior written approval of the Hotel.  The Hotel shall accept the same restrictions with respect to the use of the organiser(s) name, trademark, logo and other proprietary designation.
在未经酒店书面同意的前提下,活动组织者不得使用任何Regent上海所持有的名称、商标等专利形象标识。酒店方面也不能擅自使用组织者的姓名、商标以及其他专利形象标识。

Removal or Disposal of Function Related Items
改动或者消除活动相关条款
The Patron shall be responsible for removing all leftover decorations, materials, props and other function related items.  If any items are not disposed off immediately after the function, the Hotel reserves the right to remove them with no claim.  Any cost incurred by the Hotel in disposing of the items will be charged to The Patron.
赞助方应该负责清理残余的装饰物、材料以及其他相关的项目。如果在活动之后有任何物品没有被及时搬运清理的话,酒店将保留不经声明而自行处理的权利。任何在清除过程中产生的费用将会向赞助方收取。


Room Setup房间设施
In compliance with the Fire and Safety Regulations, please be advised that should there be any props erected, metal structures or truss hanging from the ceiling or extensive lighting and audio/visual equipment requiring more than 30 Amp, 3-phase 400-volt power supply, a layout plan and single-line drawing certified by a licensed worker or professional engineer must be submitted to the Hotel three weeks prior to your function. 
为了跟防火安全规定相一致,请确保应该竖立一些警示牌,灯具和音/视频设备需要大于30安培、3相300伏的电力供应,在活动开始前3周应该制作好一份详细的工程布局计划,专业的工程师必须全部到位。

Please note that no work is allowed to be carried out in the Hotel's premises when these plans are not submitted because the Hotel cannot be held liable for the safety of temporary power installation and structures.
请注意在没有酒店准许的前提下,不要擅自行事,因为酒店不能保证电力设施的安全性。

Important:  Please also note that helium balloons are strictly not allowed in the Regent/Grand Ballroom.
重要:同样要引起注意的是,在多功能厅室内严禁使用氦气球。

All signages should be professionally printed and signage display is restricted to the function space reserved.  Banner or display items may not be affixed to any stationary wall, floor or ceiling with nails, staples, tapes of all sorts or any other substance unless approved by the hotel management.
所有标识都应该被印制得很专业。除非是经过酒店管理层的准许,任何旗帜或者播放器材不能被固定在墙体、地板或者天花板上。


For usage of pyrotechnics, approval should be obtained from the hotel management and also a written approval from the Fire Safety Bureau.  Organizers to ensure that there are extraction fans installed to remove fumes form the pyrotechnic display.
如果要使用烟火的话,必须经过酒店管理层批准,同时也必须获得消防安全机构的书面批准。组织者要确保有抽风机来吹散烟火燃放中产生的烟雾。

Loss or Damage丢失或损坏

The Hotel will not be responsible for any damage(s) or loss(es) of merchandise, equipment or
valuables left in the Hotel's premises prior, during or after a function. Items of value should
be insured by organiser of the event.
在活动进行中和活动之后,酒店方将不承担任何物件、设备或者贵重物品的丢失或损坏的责任。活动组织者应该对贵重物品投保。

Sound Level音量

The hotel reserves the right to manage the music volume.
酒店保留调节音乐音量的权利。

 


Fire Alarm火警

The hotel reserves the right to suitable compensation should the organiser or their appointed
representatives use any materials which would trigger off the hotel's fire alarm.如果活动组织者或者他们委托的代表人使用任何引起酒店火警的材料,酒店将保留索赔的权利。
 Please ensure that
whilst works are being carried out in the hotel premises, the organiser or their representatives
should inform the hotel in writing if smoke guns or any flammable materials are used at any time.
当工人在酒店从事工作时,组织者或者他们的代表应该用书面的形式知会酒店方有无采用类似烟枪之类的易燃物。
The hotel reserves the right to disallow use of equipment that represent a hazard or flammable
risk.
酒店保留禁止使用易燃物或危险品设备的权利。

Force Majeure Clause不可抗力条款

The performance of this agreement by either party is subject to acts of God, war, government
regulation, disaster, strikes, civil disorder, curtailment of transportation facilities, or other
emergencies making it inadvisable, illegal or impossible to provide the facilities or to hold the
meeting/convention.
这份协议的执行如果遭遇宗教、战争、政府、疾病、游行、内乱、交通、或者其他不可预见的突发情况,可能会造成活动不能按时进行。

It is provided that this agreement may be terminated for any one or more of
such reasons by written notice from one party to the other.
如果遭遇以上各种情况(不限于此),双方要以书面形式通知对方终止活动。

Any controversy of claim arising out
of, or relating to cancellation of this contract for the sole purpose of holding the said facilities
block in another city or hotel facility, shall be settled by arbitration.
如果因为取消这份协议中因为设施不能按时到位而引起的任何争论,需要请仲裁部门来进行仲裁。

Impossibilities of Performance

This agreement will terminate without liability to either party if substantial performance of either party's obligations is delayed,
impeded or prevented by any cause reasonably beyond that party's control. Such causes include, but are not limited to acts of God, regulations or orders of government authorities, fire, flood or explosion, global war, disaster, civil disorder, curtailment of transportation facilities, or other emergency making it inadvisable, illegal or other impossible to hold any conference or meeting.
如果有一方未能履行协议中规定的职责,那么本协议将可以在不承担任何责任的情况下终止。这样的情况包括但不仅限于:宗教、战争、政府、疾病、游行、内乱、交通、或者其他不可预见的突发情况。

Delivery of Materials物料递送

All delivery and disposal of materials must be done via Hotel Security Department. Packages for the function may be delivered to the hotel 3 days prior to the function date with notification in writing given to the Catering Sales Department.  The following information should be included on all packages.
所有物料的递送和分派都应该经由酒店安保部来完成。活动需要的包裹会在活动开始日期前3天送达酒店的餐饮销售部门。包裹上应该包括以下所有的信息。

a) Name of Patron
b) Hotel Contact
c) Name of Event Organizer
d) Date of Actual Event

The Catering or Convention Services Department should be notified of any alternate arrangements made.
如果计划有任何变动应该及时通知餐饮或者宴会服务部门。

Nature of Function活动性质

The hotel reserves the right to cancel the agreement should the nature of the function deviate from the original intent as stated in the signed agreement and any deposit received shall be forfeited.
如果活动的性质背离了原来所签订协议上的意图,酒店保留取消协议的权利,并且会没收所有已付押金。

The hotel reserves the right to stop any activity, which is considered improper or unsafe.
酒店有权终止任何被视为不恰当或者不安全的活动。
